Job Summary:
Tri Counties Trucking is seeking a detail-oriented and organized Office Administrator to join our team. The Office Administrator will be responsible for processing paperwork, scheduling personnel, and ensuring the smooth and efficient operation of daily tasks. The ideal candidate will have strong administrative skills, excellent time management, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Processing Paperwork:
Manage and maintain accurate records of documents, contracts, invoices, and other office paperwork.
Ensure timely and efficient filing, both electronically and in physical files.
Handle data entry and updates for various records, databases, and forms.
Prepare reports, memos, and other documentation as required.
Assist in the preparation and processing of payroll paperwork, invoices, and expense reports.
Personnel Scheduling:
Coordinate and manage employee schedules, ensuring adequate coverage for all shifts and business needs.
Update scheduling software or systems to reflect changes, time-off requests, or shift adjustments.
Communicate schedules to employees and address any conflicts or changes promptly.
Assist with scheduling meetings, interviews, and appointments for staff and management.
General Administrative Support:
Act as the first point of contact for office-related inquiries and visitors.
Answer and direct phone calls, emails, and other correspondence as needed.
Maintain office supplies inventory and order new supplies when necessary.
Assist in organizing office events, meetings, and team activities.
Ensure the office environment is clean, organized, and functional.
Qualifications:
High school diploma.
Proven experience in office administration, scheduling, or a similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software.
Strong organizational and time management skills.
Excellent verbal and written communication abilities.
Attention to detail and accuracy in processing documents and data.
Ability to work independently and as part of a team in a fast-paced environment.
Work Environment:
This role is performed in an office setting with standard business hours, though flexibility may be required to meet scheduling demands.
Currently seeking 2 two candidates for the below shifts.
· 6am – 2:30pm
· 2pm – 10:30pm
